E4 is a financial services firm managing insurance solutions across four lines: Life, Disability, Annuities, and more. Jessie Carlquist and one colleague in marketing are responsible for creating, organizing, and distributing all sales tools, educational materials, and campaign content to a network of field advisors and Regional Vice Presidents.

Their audience ranges from tech-savvy RVPs to older advisors who need the simplest possible experience to find and use the right content.

The Challenge

An inherited system that nobody could leverage

Before Collage, E4 had inherited a Brandfolder account, but without adequate support or training the team couldn't get real value from it. Day-to-day content still lived in SharePoint — deeply nested folder structures that even internal team members struggled to navigate. External advisors had an even harder time. Every content request flowed through marketing, turning Jessie's team into a bottleneck.

The team needed a platform simple enough that hundreds of advisors could browse, find, and download the right materials without training or support — while giving marketing the tools to keep everything organized and up to date.

Color-coded collages that advisors navigate intuitively

E4 organizes content into collages by insurance line — Life, Disability, Annuities — each with its own distinct color. Red for disability, for example. Advisors open the brand portal, see the visual grid, and know exactly where to go.

Assets live in multiple collages when relevant. A webinar about life insurance appears in both the Educational Library and the Life Insurance collage, so advisors always find it no matter how they browse.

Version history keeps weekly reports on a single, permanent link

Every Monday, Jessie updates the Annuity Solutions Weekly (ASW) — a PDF report with current annuity statistics. Instead of uploading a new file each week, she uses version history to replace the content in place. The share link in the weekly email never changes.

This simple workflow eliminates broken links, keeps the library clean, and means advisors always see the latest data when they click through from any past email.

Share links that work for everyone — no login required

E4's advisors and RVPs aren't employees — they're external partners. Jessie uses share links by default for every piece of content she distributes, ensuring anyone with the link can access it without authentication.

Advisors self-serve instead of emailing marketing

Before Collage, every content request went through Jessie's team. Now advisors browse the brand portal on their own — checking for existing materials before ever reaching out. The visual grid with large thumbnails makes it easy to scan, even for less tech-savvy users.
